Participant Referrals

Coordinators can refer clients out for services and Providers can accept or decline the referral.

To Add a Referral

From the Participant’s Dashboard

  1. Click the Referrals tab.

  2. Click the + Create New button.

  3. Click the Service Category drop-down and click the appropriate category.

  4. Click the Service drop-down and click the appropriate service.

  5. Click the Location drop-down and click the appropriate Location.

  6. Click or Tab to the Referral Date field and click or enter the referral date.

  7. Click or Tab to the End Date field and click or enter the end date for the service referral.

  8. Click or Tab to the Units field and enter the # of units for the service. (If the service is a CBI class the system will auto-fill a 1)

  9. Click or Tab to the Budget field and enter the $ budget amount for the service. (If the services have a pre-defined fee, the system will display that amount)

  10. Click or Tab to the Comments field and enter any comments as needed.

  11. Click the Save button.

To Accept a Referral

From the Pending Referrals Tracker displayed on the Client Tracking tile

  1. Click View.

  2. Click the Participant Name. The Participant’s Dashboard is displayed.

  3. Click the Edit icon for the referral.

  4. Click the Action drop-down and click Accepted (Active).

  5. Click or Tab to the Comments field and enter any comments as needed.

  6. Click the Save button.

To Decline a Referral

From the Pending Referrals Tracker displayed on the Client Tracking tile

  1. Click View.

  2. Click the Participant Name. The Participant’s Dashboard is displayed.

  3. Click the Edit icon for the referral.

  4. Click the Action drop-down and click Declined.

  5. Click the Reason drop-down and click the appropriate reason. (Note: If Other is selected the system will then require a free text entry in the Other Language field)

  6. Click or Tab to the Comments field and enter any comments as needed.

  7. Click the Save button.

To Terminate/Delete/Complete a Referral

From the Referral tab on a Participant’s Dashboard

  1. Click the Edit icon for the referral.

  2. Click the Action drop-down and click Deleted/Completed/Terminated

  3. If Terminating the referral, click the Reason drop-down and click the appropriate reason. (Note: If Other is selected the system will then require a free text entry in the Other Language field)

  4. Click or Tab to the Comments field and enter any comments as needed.

  5. Click the Save button.

Note: Future dates cannot be entered when manually terminating a referral and/or updating a referral’s end date.

To Print a Referral

The print functionality is available in three places: from the Referrals tracker, on the list of Referrals on the client dashboard, and on the individual Referral editor.
