ASO Policies and Procedures

Provider Overview

The Provider Overview page serves as the landing page for most vendor users. Here, vendors can add/register clients, add billable services, run reports, etc.

Users with read-only access to the Provider Overview page can see activity across that provider, however, they will not be able to perform tasks that create, remove or edit data for that provider.

The Provider Overview page may not look the same for all vendor users. There are several configurations/layout possibilities for this page, as different programs/projects have different needs.

When on the Provider Overview page, a user is considered “within the context of that provider”. All actions taken and data displayed will be scoped to the corresponding provider.

Side Navigation Menu

The Side Navigation Menu allows users to select different programs to which they have access, within the context of the provider.

Location Drop-down Menu

The Location Drop-down Menu will appear below the Side Navigation Menu. Data displayed on each tab will be scoped to the selection made in this drop-down menu.

The Location Drop-down Menu is not made available when on the Overview tab.

Overview (tab)

The Overview tab is made available for most financial and/or client-based programs/projects. Users with access to this tab will see an Overview Tracking Section, a Client Tracking Section, or both.

Overview Tracking

The Overview Tracking section will contain financial and report tiles. If the user has access to a Claims-based project, then a Claims History tile will also be displayed.

When a user clicks on a financial tile, they will be brought to the Invoices List, where the status filter will be automatically set to match that of the tile used to access the list.

The Invoices List, when accessed via a tile on the Overview tab, will only display invoices within the context of that provider.

Client Tracking

The Client Tracking section will contain client-specific tiles.

When a user clicks on a client-specific tile, they will be brought to the corresponding client list.

Program (tab)

The Program tab(s) is made available for all providers. The name of the program(s) to which the user has access is displayed in the Side Navigation Menu.

Within this tab, users will see a Program Tracking section. If the program is financial, users will also see the Project List for that program.

Program Tracking

The Program Tracking section will contain various tiles depending on the user’s access and the corresponding program’s needs and configuration.

Financial and report tiles are made available for most programs/projects. Other programs/projects will have client-focused tiles.

The Invoices List, when accessed via a tile on the Program tab, will only display invoices within the context of that provider, and the ‘Program’ filter will be automatically set to match that of the corresponding program.

Project List

The Project List displays allocation information for each project (per applicable Fiscal Year) under the selected program to which the user has access. The total amount allocated for each project (within the context of the provider, selected location, and Fiscal Year), along with outstanding dollars (i.e., billable services, yet-to-be-paid) and paid amounts, is displayed.

If a project did not have any allocations for the selected Fiscal Year, then it will not be displayed in the Project List.

Next to the Remaining Amount value, a hamburger icon is shown. Clicking the icon will display the Funding Breakdown pop-up window for the corresponding project. The Funding Breakdown window reveals the individual fund sources which the allocation comprises.

Top Navigation Menu

The Top Navigation Menu will display various links depending on the user’s access and the corresponding programs/projects’ configurations.

To the top-left of the screen, the nmStar logo is displayed. Clicking the logo will bring the user back to whichever page they land on as soon as they log in (the Welcome Screen, the Provider Overview page (Overview or Program tab), or the Invoices Dashboard).

To the top-right of the screen, the QA Review drop-down makes available links to recoupments modules.

Only users with access to recoupment modules will see this drop-down.

The Programs link will bring the user back to the tab (Overview or Program tab) which they land on as soon as they enter the Provider Overview page.

The Client drop-down makes available links to register and search for clients.

Only users with access to client-interactive projects will see this drop-down.
