Understand and Interact with the Burn Rate by Fund Report
The Burn Rate by Fund report is a heavily-used tool for Approvers and Payors alike. The report displays a list of fund sources that are associated with a project(s) to which the user has access. Each fund source can be expanded to show its associated projects; each project can then be expanded to show participating locations. Every level of expansion will show an aggregate amount of dollars allocated, paid, outstanding, and remaining. A percent utilization calculation is also provided (Percent Utilization = (Allocation) / (Paid + Outstanding)).
Navigation
From the Invoice Dashboard:
Click Run Report
Click Burn Rate by Fund
Filters, Navigation Elements and Report Header
Three filters are available within the Burn Rate by Fund report:
Fiscal Year
After loading the report, Fiscal Year will default to the current fiscal year.
Payer
Options will include Falling Colors and BHSD (though many users will only see the Falling Colors option).
Fund Type
Options will include State General Funds and Federal Funds.
Page arrows (surrounding the page number specification) will allow users to navigate to preceding and succeeding pages.
The back arrow (located to the right of the refresh icon) allows users to navigate back to the Burn Rate List (only available if the Burn Rate by Month view is opened).
Burn Rate List
The Burn Rate list displays all fund sources associated with the projects/programs to which an Approver or Payor has access.
Each row displays allocation summary data for that fund source. Each row can be expanded to display the individual projects and provider locations that contribute to that fund source’s total allocation amounts.
Burn Rate List Expanded
The Burn Rate List comprises three ‘levels':
Fund Source
Project
Provider Location
Each fund source row can be expanded to show the projects associated with that fund source (limited to projects to which the user has access). Each project row can be further expanded to show its participating locations.
In the screenshot above, the B500 fund source is highlighted and displays aggregate financial data across all associated projects (to which the user has access) and participating locations.
Fund Source-level Allocation Data
The fund source row represents the 'broadest' level of allocation summary data within the report.
The project row will display the same allocation summary data - allocation, paid, outstanding and remaining amounts with a percent utilization calculation - as its contribution towards the overall fund source.
In the screenshot above, the B500 fund source has been expanded to show its associated projects.
The Claims - BHSD project is highlighted and displays aggregate financial data across all participating locations.
Project-level Allocation Data
The project row will display the same allocation summary data - allocation, paid, outstanding and remaining amounts with a percent utilization calculation - as the fund source row.
Each project row will display allocation data as a contribution to its parent, fund source row.
In the screenshot above, the B500 fund source and SGF: Mental Health projects have been expanded to show its participating locations.
Provider Location-level Allocation Data
The provider row represents the ‘finest’ level of allocation summary data within the report.
Each provider row will display allocation data as a contribution to its parent, project row.
Accessing the Burn Rate by Fund View
The Burn Rate list displays a total line at the bottom. A teal ‘Total’ link is provided and provides access to the Burn Rate by Month view.
Burn Rate by Month View
The Burn Rate by Month view takes the data displayed on the Burn Rate by Fund List and compiles it into a month-by-month breakdown for the two fund types (State General and Federal funds). This breakdown is represented by an X-Y chart at the top of the page.
Three additional pie charts are displayed, showing allocation summary data for the two fund types (State General and Federal funds).
Note: The term ‘Incurred’ is used in place of ‘Outstanding’ in the Burn Rate by Month View.
Burn Rate by Month List
In the navigation panel, click the right arrow to view the Burn Rate by Month List. The list displays the same information as the graphs but in a list view.
Note: The term ‘Incurred’ is used in place of ‘Outstanding’ in the Burn Rate by Month List.
