Placing an Invoice in Corrections - Lead Agency

As an Approver, you can place an invoice into a state of Corrections Required should you find that there are any issues that need to be corrected. To do so, follow these steps:

  1. Log into STAR.

  2. Navigate to your Invoices (Lead Agency) link from your Welcome Screen.

  3. Navigate to the Invoice in question through any of the Invoice Trackers.

4. Once you have located your invoice, open the invoice by clicking on the Name of the Provider under Invoice Details.

5. Select Provider corrections required from the available Action Dropdown Options.

6. Select a Reason. Use the “Other” reason if the available options do not match the needed corrections.

7. Include a comment to inform the provider of the needed corrections.

8. Click on the blank space to the left of any service that is in need of corrections to mark it for corrections.

Note

Services must be checked in order to be interacted with by the provider. Any services that are not checked will not be editable.

9. Once you have selected the required services in need of corrections, click Submit Action.

10. The Invoice will change status to Corrections Required and await the provider’s review.

If an invoice is mistakenly marked for corrections, you can reach out to Falling Colors Support to reset the status to Pending Approval.


Completing Corrections - Providers

As a Provider, you must complete corrections from within the Invoice that is Marked for Corrections. To complete corrections on an invoice, complete these steps:

  1. Log into STAR

  2. Navigate to the Invoice Trackers under Overview Tracking. The number within the orange circle on each track indicates the number of invoices in that current state.

  3. Select Take Action under Corrections Required.

  4. This will direct you to the Invoice Management feature.

5. Locate any invoices needing corrections under Corrections Required - Awaiting Action.

6. To begin your corrections, click on the teal-colored name of your Provider under Invoice Details.

7. Review the comments section to see what corrections are required.

8. Services that are in Orange have been selected by the Lead Agency as in need of corrections.

9. To update an existing service, click on the name of the service under Service.

10. Once you have opened the existing service, update any of the fields (Date of Activity, Cost of Activity, Documentation, etc.) and click Save once completed.

11. To delete a service from the invoice, click on the Trash Can icon on the highlighted service.

12. To add a new service to an invoice, click on the Add a New Service dropdown.

13. To turn in your corrections, select the Corrections Completed status from the Action drop-down.

14. Then, select Submit Action.

15. The invoice will then be returned to the Lead Agency for review.

Providers have 30 days from the date an invoice is returned for corrections to submit the correction(s). If not corrected in 30 days, the invoice will be automatically denied.
